Dark Sky Properties LLC, doing business as Cabins of The Methow (collectively "Dark Sky Properties," "we," "us," or "our"), is a property management business on behalf of private owners who rent their legal nightly rental cabins, Inns, and homes in the Methow Valley. If you have booked a private cabin through us, we are only the agent for the owner and you agree to hold us harmless if you are injured or have incurred property damage while at the property.
Booking Channels & Platform Terms: Reservations may be made directly through Dark Sky Properties’ website or through third-party booking platforms including Airbnb, VRBO, and others. When booking through a third-party platform, that platform's terms and conditions, cancellation policies, and payment processing policies also apply and may supersede or supplement these terms. Please review the applicable platform's terms at the time of booking.
Payment & Cancellation Policies:
Standard Terms:
- Payment: No deposit required. Full payment is due 30 days prior to arrival, or at time of booking if made within 30 days of arrival.
- Cancellation: Reservations may be canceled or changed up to 30 days prior to arrival with no penalties. Cancellations or changes within 30 days are subject to full payment.
Property-Specific Terms: Some properties have different requirements that will be clearly communicated in the property listing and booking confirmation. Property specific terms or rate plans may include non-refundable deposits, other payment schedules, or other cancellation windows. Property-specific terms supersede standard terms when communicated.
Extenuating Circumstances: We may consider cancellations only in the rare event that the property is inaccessible by any road route, including all alternate routes, due to events such as severe weather or wildfire-related closures on the check-in date.In such cases, guests may reschedule within six months, subject to availability. No other circumstances apply. Refunds are not provided. Trip cancellation insurance is strongly recommended.
Cancellation Policy Abuse: If any guest abuses the cancellation policy by booking and canceling to hold dates, Dark Sky Properties may: 1) Cancel new reservations at our discretion, 2) Ban the guest from future reservations, 3) Require full non-refundable payment at time of booking.
Travel Protection: Travel protection is available for purchase with your reservation but is NOT included in your booking cost. The Plan includes coverage for the loss of your prepaid, non-refundable trip costs if your trip is canceled or interrupted due to certain unforeseeable events. We offer travel protection as a way for you to help protect yourself and your trip investment. Outstanding reservation costs are not eligible for reimbursement at the time of cancellation and the cost of the Plan is not eligible for a full refund outside of the Plan's free look period. Washington State Required Notice: If services are canceled by Dark Sky Properties, all sums paid to Dark Sky Properties for services not performed in accordance with the contract between Dark Sky Properties and the purchaser will be refunded within thirty days of receiving the funds from the establishment with whom the services were arranged, or if the funds were not sent to the establishment, the funds shall be returned within fourteen days after cancellation by Dark Sky Properties to the purchaser unless the purchaser requests Dark Sky Properties to apply the money to another reservation and/or date.
Check-in/Check-out: Check-in is at 3pm unless otherwise communicated in advance. Check-out is at 11am on the day of your departure. We cannot offer a late check-out. You may request an early check-in and it will be granted only with prior approval. The address and driving directions will be automatically sent to you prior to your arrival.
Smoking Policy: All properties managed by Dark Sky Properties have a NO smoking policy either inside the building or on the grounds of the respective property.
Pet Policy: Pets are only allowed at approved cabins or in designated rooms within The Inn at Mazama. If you are bringing a well-behaved pet you must ensure that you've received approval prior to doing so. If a pet damages a property, appropriate charges will be assessed to make the necessary repairs. You must clean up after your pet and dispose of any waste. Pet food should not be left out as it attracts rodents and pests.
Party Policy: There are to be no parties without prior written approval. After 9pm you should reduce any outdoor noise to a minimum out of respect for the neighbors near you.
Camper Policy: No campers are permitted on any of our properties without written approval first. Any campers found on a property will be required to move immediately and the guest that reserved the cabin will be asked to vacate the property and will forfeit the remainder of their funds.
Fire & Fireworks Policy: NO OUTDOOR FIRES are allowed on any of the properties we manage. The only exception is for properties with a designated fire pit and with explicit permission from the owner as stated in the property's house rules. Fire pits are NEVER permitted during burn bans regardless of property rules. Check your property's house rules and any applicable HOA restrictions before using any fire pit. Fireworks are not allowed under any circumstance. Fires in approved indoor fireplaces are only permitted if allowed by the homeowner as spelled out in their house policy book.
Weather: Weather in the Methow Valley can change at any time. We are not responsible for driving conditions or any impact that weather may have on your stay. It is highly recommended that you check the WA State Department of Transportation website (https://wsdot.wa.gov/) so you are aware of road conditions prior to your departure.
Cleaning Services: All of the properties that we manage are professionally cleaned prior to your stay. There is no cleaning service during your stay. Kitchens have all of the necessary cooking supplies, but they may not have any food supplies needed to prepare a meal so you should plan on bringing or purchasing your own ingredients as needed.
Grounds for Eviction: You will be asked to leave a property and will be responsible for the entire reservation cost for the following reasons:
- Illegal activity
- Starting an outdoor fire
- Smoking on the property
- Having unapproved pets
- Having an unapproved party
- Your guests exceed the number booked
Damage, Additional Charges & Security Deposits
You are responsible for all damage to the property occurring during your stay. In the event something breaks or is damaged, please notify us as soon as possible so we can address it and inform the owner. By completing a reservation with Dark Sky Properties LLC, you agree to be financially responsible for any damages, excess cleaning, rule violations, or other charges incurred during or as a result of your stay. Unless otherwise stated in the listing, booking confirmation, or property-specific house rules, the following fees may apply:
- Unauthorized pets: $200 per pet, per stay
- Extra cleaning (beyond normal cleaning condition and standard housekeeping time): $100 plus $75 per additional hour after the first hour
- Unauthorized guests (over the stated occupancy, or undeclared guests when extra person fees apply): $50 per guest, per night
- Smoking on the property, lighting outdoor fires when not permitted: $200
- Damages: Charged at repair or replacement cost, including time and labor, plus a 15% administrative fee
- Other violations of house rules: Charged as assessed based on the nature of the infringement, up to $500; actual damage remains payable in full
You authorise Dark Sky Properties LLC to charge the credit or debit card on file for your reservation for any of the above charges identified after check-out. Where reasonably practicable, we will notify you of such charges and provide supporting documentation. If the card on file is declined, expired, or otherwise unavailable, we reserve the right to invoice the guest for any outstanding balance, which remains payable upon receipt.
Security Deposits & Card Authorisation Holds
Some properties require a security deposit or a temporary credit card authorisation hold, which will be clearly disclosed in the listing and/or booking confirmation.
- Security deposits or authorisation holds may be up to $500
- Authorisation holds are typically placed one (1) day prior to check-out.
- Holds are released automatically by the card issuer after check-out, generally within five (5) to seven (7) days, provided no charges are applied.
Applicable damages or fees may be charged against the security deposit or authorisation hold. Guests remain responsible for any costs that exceed the held amount, and authorise us to charge the card on file for any remaining balance.
